English Language Club / Formal letter to the Principal of your college requesting permission and necessary facilities to set up an English Language Club (Letter, Application & Email Writing)

Write a formal letter to the Principal of your college requesting permission and necessary facilities to set up an English Language Club.

15 June 2026

The Principal,

Dhaka City College, Dhaka.

Subject: Prayer for setting up an English Language Club.

Sir,

With due respect and humble submission, I, on behalf of the students of your college, would like to draw your kind attention to the fact that we are highly interested in setting up an English Language Club on our college campus. Our college is one of the most renowned institutions in the city, but we currently lack a dedicated platform for practicing spoken English.

In today’s competitive global environment, proficiency in English is an absolute necessity for both higher education and career development. While our regular classroom routines excellently cover grammatical rules and literary analysis, students often hesitate to speak English in real-life situations. This happens primarily due to a lack of a proper environment and insufficient opportunities for regular conversational practice.

An English Language Club will perfectly address this problem by creating a supportive environment for the students. Through this club, we plan to organize weekly seminars, debates, extempore speeches, and interactive language games. These activities will help students overcome their shyness, correct their pronunciation, and develop spontaneous speaking fluency outside of their standard syllabus constraints.

We, therefore, pray and hope that you would be kind enough to grant us the permission to organize this club and allocate a suitable room for our weekly sessions, thereby obliging us.

Yours obediently,

Sajid Hasan

Student Representative

Question 2: Formal Email Write a formal email to the Head of the English Department requesting him to become the Chief Advisor of the newly proposed English Speaking Club.

Subject: Request to become the Chief Advisor of the English Speaking Club

Dear Sir,

I am writing to you on behalf of the senior students to formally present our initiative to establish an English Speaking Club at our college. We have finalized the core committee and drafted an operational plan, but we require experienced guidance to ensure the club's academic success.

While our students perform exceptionally well in written examinations, many of us struggle with verbal communication and listening comprehension. The lack of an immersive English-speaking environment means that students rarely get to apply what they learn in their textbooks. We realized that a dedicated speaking club is essential to bridge the gap between theoretical knowledge and practical communication skills.

The club intends to hold regular Thursday afternoon sessions focused entirely on verbal skill development. Our planned activities include group discussions on current affairs, vocabulary-building exercises, and mock interviews to prepare students for future university admissions. To make this initiative truly effective, we need the mentorship of an expert who can guide our curriculum and correct our structural mistakes during these sessions.

We would be deeply honored if you would consent to become the Chief Advisor of our English Speaking Club. We eagerly await your positive response and would be grateful for a brief meeting to discuss this further at your convenience.

Best regards,

Sajid Hasan

Convener,

Proposed English Speaking Club
